Ask ten offices what printing costs and nine will quote the toner invoice. It’s one line in a bill nobody reads to the bottom: paper, electricity, service contracts, IT tickets and the minutes staff lose to a jammed machine are all print spend, hidden in someone else’s budget line.
This page does the full arithmetic. Every component gets a named source and a URL; every assumption is written down so you can swap in your own numbers.
The real cost per page, decomposed
A printed page has five cost layers, at November 2026 street prices in euros, excl. VAT:
| Component | Typical range (mono laser) | Working figure | Basis |
|---|---|---|---|
| Paper | €0.007–0.018/page | €0.010 | €5 ream of 500 sheets, EU mid-market |
| Toner | €0.030–0.063/page | €0.037 | HP 59A: €111.51 ÷ 3,000 pages |
| Energy | €0.0001–0.0004/page | €0.0002 | 0.796 kWh/1,000 pages × €0.25/kWh |
| Maintenance | €0.004–0.010/page | €0.006 | €1,200/yr service on 200,000 pages |
| Service & admin | €0.005–0.015/page | €0.008 | IT tickets + supply ordering |
| Total | ≈ €0.061/page |
Two conclusions: energy is noise, and toner plus paper are ~77% of the cash cost. That’s where the money is.
Paper. A 500-sheet ream of A4 80 gsm sells for €3.58–8.99 across EU retail; mid-market, call it €5 — €0.010 a sheet. At the 2025 EU wholesale price of €857/tonne, the ream holds only ~€2.14 of paper; the rest is distribution, brand and shelf space (see our paper price survey).
Toner. Street prices ÷ rated yields, checked November 2026: HP 59A €111.51/3,000 = €0.037/page; Lexmark B342H00 €90.98/3,000 = €0.030; Brother TN-2320 XL €100.97/2,600 = €0.039; HP 206A color black €84.99/1,350 = €0.063 before the CMY carts. Color multiplies the line: Marconet measures a color page at 10.3¢ vs 2.2¢ mono — 4.7×. Ink-tank machines break the pattern (€0.007–0.010/black page), which is why machine choice is a budget decision — see our 2026 cost-per-page comparison.
Energy. Lexmark’s ISO 14040/14044 life-cycle assessment for the CX730de measures at-wall use of 0.796 kWh per 1,000 pages. At €0.25/kWh that’s €0.0002/page; 50,000 pages a year costs about €13 of electricity. ENERGY STAR-qualified printers additionally sleep below 75 W, saving ~$21/year each — irrelevant next to toner.
Maintenance. Kyocera prices a standalone small-office maintenance contract at $50–150/month, with one out-of-contract repair at $500–1,500. €1,200/year of planned service across 200,000 pages = €0.006/page: invisible per page, visible per year.
Service overhead. Xerox documents that 40–60% of IT helpdesk calls are print-related, and 46% of SMBs report daily waste on paper processes. At a loaded €35/hour, a 50-person office can carry €1,500–2,500/year of labor that never appears on a print invoice.
Three offices, three annual print budgets
Assumptions: volume per person falls with size (1,200 → 1,000 → 850 pages/year) as larger offices centralize; mix 80% mono / 20% color; color toner at 3× mono (conservative vs Marconet’s 4.7×); other figures as tabled above.
10-person office — 12,000 pages/year
| Line item | Basis | Annual |
|---|---|---|
| Paper | 12,000 × €0.010 | €120 |
| Toner | 9,600 × €0.037 + 2,400 × €0.111 | €622 |
| Energy | 12 kWh × €0.25 | €3 |
| Maintenance | 1 desktop laser | €150 |
| Service overhead | ~1.5 hrs/mo IT + supply runs | €630 |
| Total | ≈ €1,525 (€0.127/page) |
50-person office — 50,000 pages/year
| Line item | Basis | Annual |
|---|---|---|
| Paper | 50,000 × €0.010 | €500 |
| Toner | 40,000 × €0.037 + 10,000 × €0.111 | €2,590 |
| Energy | 50 kWh × €0.25 | €13 |
| Maintenance | 2 workgroup MFPs | €700 |
| Service overhead | ~6 hrs/mo | €2,520 |
| Total | ≈ €5,820 (€0.116/page) |
200-person office — 170,000 pages/year
| Line item | Basis | Annual |
|---|---|---|
| Paper | 170,000 × €0.010 | €1,700 |
| Toner | 136,000 × €0.037 + 34,000 × €0.111 | €8,782 |
| Energy | 170 kWh × €0.25 | €43 |
| Maintenance | 5 fleet devices | €2,500 |
| Service overhead | ~15 hrs/mo | €6,300 |
| Total | ≈ €19,325 (€0.114/page) |
Per-page cost barely improves with size — the savings at scale come from toner volume discounts, not efficiency. Small offices pay worst per page because fixed service and labor sit on a tiny page count.
The hidden costs nobody invoices
Wrong machine, wrong person. A cartridge inkjet runs €0.235/black page (Canon CLI-581, €46.99 ÷ 200 pages). At 2,000 pages/month that’s ~€5,400/year in ink vs €888 on a €0.037 mono laser. The €180 “saved” at the till costs €4,500 a year.
Color by default. If the driver defaults to color, every accidental page costs 4.7× a mono one. Shifting color share from 20% to 5% at the 50-person profile is worth ~€260/year — one checkbox.
Jam downtime. Fuji Xerox’s survey of 1,000 office workers found jams the top printing frustration (30%), with 19% citing error-troubleshooting that “wastes precious work time.” Fifteen jam-minutes per person per month across 50 people is 125 hours a year — €4,400 at €35/hour.
Supplies markup. You pay ~2.3× the commodity price for reams, and panic-bought toner from whoever has stock is the priciest there is. Contract pricing with automatic replenishment removes this layer — which is why sound managed-print bids land 25–40% below unmanaged spend.
What a realistic 40% cut looks like, step by step
Forty percent is aggressive but defensible: managed-print programs return 20–30% in year one, fragmented fleets closer to 40%. One honest path on the 50-person baseline (€5,820):
- Grayscale driver default (week 1): −€260
- Duplex default — EPA: 30–50% of paper cost, take the floor (week 1): −€75
- Right-size the fleet — retire desktop inkjets, consolidate on two workgroup lasers (month 1): −€520
- Metered contract — $0.008–0.015 black replaces street-price toner and reactive repairs (month 2): −€1,040
- Approvals online — kill one-use junk; Xerox found 45% of pages binned within a day (quarter 1): −€465
- Departmental volume reports — visibility alone moves 5–10% (ongoing): −€300
Total ≈ −€2,660 (45.7%) — call it 40% after slippage. Every step is reversible; the biggest lever is procurement, not culture.
FAQ
What’s a realistic cost per page for an office laser in 2026? ≈€0.06 all-in mono (€0.010 paper + €0.037 toner + ~€0.013 everything else). Toner-only on a good mono laser: €0.030–0.040; color 3–5× that. Above €0.10 all-in, your fleet or contract is wrong.
Why is toner dearer than the printer? The razor-blade model: hardware sells near cost, consumables carry the margin. HP’s own EconoMode documentation admits toner dosage is a manufacturer-controlled setting. Ink-tank machines move the margin back to the hardware.
Does grayscale default really save money? Yes — it’s the cheapest saving available. Color costs ~4.7× mono (Marconet); for 50 people that’s ~€260/year for one checkbox.
Buy or lease? One machine: buying usually wins if you accept repair risk ($500–1,500/incident). At fleet scale a metered contract at $0.008–0.015/black page beats self-supply at €0.037+ — the contract wins on toner economics, not hardware. Compare per-page rates, never monthly fees.
How do I find what my office actually spends? Sum 12 months of paper, toner, lease and service invoices, add IT hours × loaded rate, divide by device-counter pages. Can’t produce all five inputs? Run the checklist.
Checklist: audit your print costs in 1 hour
- 10 min — Inventory: every printer: model, location, duty cycle. One row each.
- 10 min — Count: page counts from device counters, mono vs color separately.
- 15 min — Invoices: 12 months of paper, toner, lease, service. Total each.
- 5 min — Labor: print tickets/month × 20 min × loaded rate.
- 10 min — Divide: total cost ÷ total pages. Compare vs €0.061 mono / ~€0.15 color.
- 5 min — Defaults: duplex and grayscale on or off, one driver per device.
- 5 min — Decide: worst device and cheapest win (usually grayscale + retiring one inkjet). Schedule both.
The output is one number per device and one for the office. Every decision above becomes obvious once those exist.
